IADOWR Films Privacy Policy

IADOWR Films is a production collaboration service for project owners, producers, cast, and crew on the web, iPhone, and Android. This policy describes how IADOWR Films handles information through those services. The app is published by IADOWR LLC.
For privacy questions, access or correction requests, or account and data deletion requests, contact support@iadowrfilms.com. You do not need to sign in to read this policy or contact us.
We do not sell your data
We never sell people's personal data or production records. Providing information to an authorized production participant or a service provider to operate a feature is different from selling it; those uses are explained below.
Information we collect and use
The information handled depends on the features you use and the information you or your production supply:
- Account and profile information: names, email addresses, account identifiers, authentication information, profile photos, and information returned by a sign-in service you choose to connect.
- Production information: project memberships, roles, departments, contact details, availability, schedules, and submitted profile information. Production workflows may also contain contracts, invoices, reimbursement receipts, tax or payment documents, and other paperwork you or an authorized production representative provide.
- Communications and files: messages, notes, questions, responses, uploaded photographs and documents, and other content submitted to a workspace.
- Time cards and location: work entries, timestamps, corrections, and, when a production enables location capture and you grant device permission, your current location coordinates and accuracy during a time-card action. The time-clock feature requests a current location; it does not continuously track your location in the background.
- Video rooms: information needed to join a room, audio and video when you enable them, and recordings when a production uses recording features.
- KIP interactions: your requests and attachments, responses, and relevant project information supplied to KIP for the task, subject to the access controls of the feature.
- Technical information: session and request information, IP addresses, device platform, notification registration tokens, and error or diagnostic records used to operate and troubleshoot the service.
Information comes from you, your device, authorized production participants, and services you choose to connect. We use it to provide accounts and project access, coordinate production work, maintain time cards and records, deliver communications and notifications, support meetings and uploads, provide KIP assistance, respond to requests, and protect the service.
Production access and service providers
Production records are available to authorized participants according to their roles and permissions. Your production company may separately control records it contributes, receives, exports, or is required to retain. Content deliberately published to public production pages can be seen by the public.
Providers supporting hosting, storage, email, notifications, video meetings, and AI processing receive information needed for those services. Depending on the feature enabled, integrations include Apple's push notification service, Google's Firebase Cloud Messaging, Daily for video rooms, and the KIP platform and AI processing services such as OpenAI. KIP requests can include submitted files and relevant production context; do not submit information you are not authorized to share for that task.
When you connect a sign-in, calendar, or social-publishing service, information needed for the requested connection or action is exchanged with that service. Those providers also publish their own privacy policies. We may disclose information when legally required or necessary to address fraud, security incidents, or the protection of people's rights.
Permissions, cookies, and choices
You can change camera, microphone, location, and notification permissions in your device settings. Permissions support their related features; denying a permission may limit that feature. Phone notifications also have controls in the app's settings. Revoking a device permission stops future access through that permission but does not itself delete previously submitted records.
Cookies and local storage support sign-in sessions, security, and preferences such as notification settings. Clearing them may sign you out or reset preferences. You can manage connected login services through account settings and revoke a connection through the relevant provider.
How long production records are kept
Project owners and producers control how long their production records remain available and can request deletion at any time, subject to legal retention obligations and other people's applicable rights.
If a project owner's account is explicitly cancelled or deactivated, associated production records may be deleted after 90 days. We will notify the owner in advance of deletion so they can request an export, arrange a transfer to another authorized owner, or seek reactivation before records are removed.
Not logging in does not start this 90-day period. A cast or crew member's inactivity, removal, or account cancellation does not start it either. The period relates to explicit cancellation or deactivation of the project owner's account, not ordinary gaps between productions.
The 90-day period is not a mandatory waiting period for an individual privacy or deletion request. Account information, communications, files, location records, and KIP interactions are retained according to their purpose and the applicable account or production retention requirements. Technical records and backups may have separate retention needs for security, recovery, and legal obligations. Ask us for information about the records relevant to your request.
Request account or data deletion
In the app, open Settings → Delete my IADOWR Films account, or use the same option on the project chooser. Confirm your password and submit the request. Our team will process your request within 30 days and notify you when finished, explaining any retention exceptions. This deletes your Films account and associated personal data; your shared IADOWR login and other IADOWR services remain active. You do not need to call or email to initiate this in-app request.
Email support@iadowrfilms.com with the subject IADOWR Films account or data deletion. Identify your account email and whether you want to delete your account, particular information, or a production you own. Never send your password. You can make a request without signing in or having the app installed.
We will verify your identity and, for a production-wide request, your authority over the production. We will explain the scope, expected completion timing, and any information that must be retained. Disabling an account is not the same as deleting it.
Some records may need to be retained to meet legal requirements, including payroll, tax, contractual, or dispute-related obligations. A request to delete an individual's account does not automatically erase every record held by a production about its work. Where retention is necessary, we will explain the reason and limit continued use to the applicable purpose. We will also clarify any effect on a shared IADOWR login before processing an account-wide request.
Security and privacy rights
The service uses HTTPS connections and account and project permissions to protect access. No system can guarantee absolute security. Keep your credentials confidential and tell us if you suspect unauthorized access.
Depending on applicable law, you may have rights to access, correct, obtain a copy of, or request deletion of your information, withdraw consent, or object to or restrict particular processing. Send requests to the privacy email above. You may also contact the data protection authority in your jurisdiction. Where a production separately controls a record, we may need to coordinate your request with its authorized representative.
Service providers may process information in countries other than your own. Contact us for information about the providers, processing locations, and safeguards relevant to your use of the service.
Information about minors
Productions involving minors must handle their information with appropriate authorization and safeguards. If you are a parent or guardian with a concern about information concerning a minor, contact us so we can investigate and address the request with the relevant production.
Changes and contact
